Bilingual Spanish English Administrative Specialist II Environmental

Will perform a variety of administrative support duties. This includes responding to customer phone calls regarding permit fees, Waste Water, water recreation, Solid Waste, and Food inspections. Additionally, this position will provide back-up coverage for the reception desk by responding to walk-in customers, collecting permit fees, and assuring good customer service.
Process a variety program related letters, which are mainly from templates, but require formatting, printing, saving, making copies and distributing accordingly.
Maintain alpha order of various office and other centralized files.
Responds to phone calls related to Environmental health which may include, but not limited to, water recreation, wastewater, food establishments, solid waste, rodent, soil sampling, permit fees and or inquiries. Enters phone call data into program database to generate tracking numbers and route appropriately.
Provide back-up coverage for primary customer service desk by responding to walk-in customer request, inquiries or complaints, greeting visitors and clients, while simultaneously handling multiple tasks.

Responsible for data entry; entering complaints, inspection data, field comments, resolution of the customer complaint process into program database, generating tracking numbers and routing appropriately.
Utilizing cash register to process permit transaction.
Create new food establishment file folders and files program related information. Process, sort, and distribute program mail.
Process program related temporary event permit application and route accordingly.
Perform other duties as assigned.
  • Demonstrated ability to accurately enter significant amounts of data into databases in a timely manner.
  • Demonstrated ability to update, and maintain program databases and logs and retrieve information
  • Demonstrated ability to work in a Windows environment and use Microsoft Office products to complete assigned clerical tasks, including: Word, Excel, and Outlook.
  • Thorough knowledge of contemporary office methods and practices, English usage, including grammar, spelling, and vocabulary
  • Demonstrated ability to communicate effectively orally and in writing.
  • Demonstrated customer service skills in person and via telephone with discretion, patience, etiquette, and professionalism
  • Demonstrated telephone triage experience, handling multi-phone lines
  • Demonstrated ability to use standard office equipment, including: multi-line telephone systems, fax machines, copiers, personal computers and printers
  • Demonstrated punctuality and dependability in daily attendance
  • Ability to work effectively and positively within a team environment, and maintain professionalism with all staff
  • Demonstrated ability to move up to 10 pounds in order to move boxes of files for archiving and file management. This will involve lifting, standing, stooping, reaching and bending, sometimes for long periods of time, during the course of the work day
  • Demonstrated ability to follow oral and written instructions

• Client relies on office automation (Microsoft Office) and web-based enabled tools, therefore candidates must be proficient and comfortable with computer use to perform functions associated with on-going work.
