 Part time (20 hour/week) Administrative Specialist II, 

Job duties: 
Provides support to the client Division with a wide range of administrative, technical/clerical and customer service support functions to division director and deputy director/budget & finance manager. 
 · Prioritize and provide office and administrative support services for the Client Division.
· Perform complex word-processing tasks, including mail-merges, document production/preparation, maintenance and periodic updating of mailing lists and boilerplate documents, and detailed proofreading and editing.
· Support the Division financial needs in purchasing, invoicing and expense claims. Reconcile transactions from entry to payment. Maintain, track and/or retrieve financial information using spreadsheets, manual files and/or database applications.
· Assist in maintaining all official records for the division and file official correspondence and documents in a system that allows retrieval as needed. Includes tracking public inquiries, legislative actions, performance measures, and developing mailing lists.
· Assist in records coordination and management for the section; sorting records for staff, preparing records for transmittal, maintaining a log of records submitted. This body of work will also include being part of the support for Electronic Records Management (ERMS).
· Provide support in tracking annual trainings, travel, and safety programs for the Section.
· Provide customer service support that includes answering main phone line, assisting internal customers with issues that arise in the INVERS dispatch system, responding to public inquiries, which may be of a complex and sensitive nature and require coordination with other county departments and employees.
· Provide support and assist the staff on tasks such as scheduling meetings and maintaining calendars, handling documents, tracking correspondence assignments, processing and organizing records and materials, and copying documents.
· Coordinate and order general office supplies and equipment. 
· Other duties requested as part of office administration.

Hours of 12:00 p.m. to 5:00 p.m., Monday through Friday.
Location: Downtown Seattle
Duration: 4-8 weeks
Rate: $19.96 per hour
