Administrative Specialist / Receptionist

Provide Administrative and receptionist support.
 
Major Responsibilities:
- Opening and handling all incoming mail
- Preparing and distributing correspondence, report, memos, and other documents for President, Manager of Member Services, Manager of MBE Services and Manager of Operations
- Screening some emails and other communications, researching answers and providing information to persons who do not require the attention of other staff
- Preparing materials for mailing or mass distribution
- Maintaining administrative files and other records
- Developing and maintaining efficient procedures for tracking pending matters and activities while in progress to assure effective follow-up
- Assist in the preparation of professional presentations to management
- Communicating by telephone, e-mail as needed and required
- Scheduling and arranging meetings as requested and required
- Maintaining common office areas clean
- Maintaining office supplies stocked
- Capture staff meeting notes and action items
- Managing event volunteers
- Managing event registration
MINIMUM QUALIFICATIONS

Education
  • College degree preferred
  • Or, 3- 5 years related experience in customer service / Administrative Support
Experience
  • Required exceptional customer service experience on the phone and in person
  • Required a working knowledge of Microsoft Office Suite Software. 
  • Ability to interact with the public.

  1. Must be organized, time management capable, able to multitask, work within a team environment, and communicate concisely and effectively both verbally and in writing.
  2. Possess the ability to work collaboratively with different teams and committees. Professional/Business appearance is required at all times.
  3. Work safely at all times independently and around other team members.
  4. Possess the ability to take direction, process, and complete assigned tasks.
  5. Possess the ability to read, write, speak and understand English language, bilingual a plus
Equipment Used
Office Equipment Setting: Laptop, Desktop, LCD projector, Printer/Copier/Scanner/Fax Machine, Multi-Line Telephone
 
Working Conditions
 
  1. Safety: Work safely, independently and around other team members. Work safely in all aspects of the Certification Assistant Role. Maintain clean workspace
2. Physical Requirements:
Ability to lift, move, and transport boxes up to 40 pounds in weight. Ability to bend and use proper lifting techniques while at work on-site as well as off-site.
  1. Working Conditions
Normal hours are Monday to Friday 40 hours per week.  For events some schedule flexibility will be required.
Location: Tukwila
 
Hours: 40 hours per week
Rate:  $15 per hour with benefits
