Duties:
  • Provide back-up for requesting and managing continuing legal education (CLE) credits in Washington State Bar Association (WSBA) Mandatory Continuing Legal Education (MCLE)
  • Monitor in box and provide responses to inquiries in a timely manner
  • Cover front desk reception duties during staff breaks and meal period; greet customers and direct them appropriately; answer Director’s Office incoming telephone calls, respond to questions, take messages, screen, and route or refer callers, as appropriate
  • Provide back up for logging in expert requests, and expert and assigned counsel invoices into ’s case management system
  • Provide the following types of support to the Director of Operations and Felony Practice Director
  • Review incoming correspondence and mail, prepare replies to routine letters and memorandums, route memorandums and letters for signature as appropriate, and ensure timely responses through the maintenance of a tracking system
  • Convey the Division Director's directions and instructions to subordinate staff. Furnish explanations, when necessary; advise staff of the Division Director's preferences and requirements
  • Maintain the schedule of each Division Director; coordinate arrangements and activities that require extensive contacts within and outside the Division; set schedule priorities and creatively and adeptly resolve appointment conflicts on ever-changing calendars
  • Schedule Skype meetings and set up for the meetings
  • Prepare, format, proofread and/or edit a variety of materials and correspondence to be signed by the Department Director, Deputy Director or other Division Directors;
  • Draft letters to clients/public in response to letters of complaint or inquiry
  • Have a working knowledge of the Department organizational chart
  • Learn, perform, and maintain special projects, as requested
  • Serve as back up when your supervisor is out of the office, and
  • Other duties, as assigned
 
 
Knowledge/Skills
 
  • Knowledge of office management techniques and principles
  • Ability to maintain a high level of confidentiality and utilize good judgment.
  • Ability to take initiative and be accountable, use independent judgment to accomplish tasks and handle responsibilities while avoiding errors in judgment and discretion. Critical thinking and problem solving skills are required.
  • Ability to prioritize workload, work efficiently and calmly under pressure with tight turn-around times and ever-changing priorities; juggle and track multiple assignments, and meet deadlines.
  • Demonstrated ability to work cooperatively with discretion, patience, professionalism, courtesy and tact with all levels of staff, private sector officials, elected officials and the public
  • Excellent planning and organizational skills
  • Knowledge of Word and Excel
  • Knowledge of Outlook/scheduling Skype meetings
  • Knowledge of SharePoint
  • Facilitation skills
  • Skill in communicating courteously and tactfully with otheres
  • Skill in working with diverse populations
 
  • Employment in this position in contingent on the ability to successfully pass a criminal background check.

    Location: Downtown Seattle
    Duration: 5 months
