Certification Specialist

 Certification Specialist will act accordingly to meet all levels of Customer Satisfaction.  This position is responsible for managing the client's approved certification process for the Northwest.  This position oversees the follow-up of interested firms, management of certification, and program projects through analysis, design and implementation.
As the Certification Specialist this position represents the client at all times in the most ethical and professional sense.  

Job Summary
This position reports directly to the President and CEO. The primary responsibility of the Certification Specialist is to manage the   certification process.


Primary Responsibilities
1. Certification Planning & Reporting:
a) Establishes current customer Baseline
b) Establishes annual goals: customer base portfolio growth; customer training; firm Recruitment Sessions;…
c) Provides quarterly reports to President for submission to National Organization.
d) Certification cycle time goals

2. Attends and provides training:
a)  Attends National  annual certification training – Once a year
b) Provides client staff and Certification Committee Members informed of any updates to certification policies
c) Schedules and organizes Certification training for interested firms
d) Schedules and organizes New firm  Value Training
e) Provides office staff certification training
f) Provides Board of Directors certification training
g) Supports and provides Corporate and Public Agency member certification training on and off site
Note: Position requires availability to travel to meetings and conferences throughout the region.

3.  Process new certification applications
a) Reviews applications for eligibility and completeness
b) Prepares new applications for certification committee
c) Communicates with applicant: acknowledges receipt, provides information re: packet completion, missing information, time frame, etc.
d) Coordinates and conducts site visits requiring regional travel to insure completion of certification process within targeted certification cycle timeline
e) Coordinates and represents client in Certification Committee meeting, at times    leading the meeting
f) Prepares certification report for Board of Directors
g) Keeps certification process moving forward to insure we complete certification within a range of 45 to 60 days
h) Prints, scans, files, and mails certificates
i) Serves as business resource specialist for all Council Stakeholders internally & externally

4. Client  Recertification Process Management
a) Sends out notices to firms ready to expire 30/60/90 days before expiration date
b) Reviews recertification packets
c) Issues new certificates to qualifying firms
d)  Travels and conducts site visits every 3 years

5. Database & File Management
a) Reviews and updates MBISYS frequently, at least once a month, to insure all information is current
b) Adds new firms once approved by the Board of Directors
c) Updates current firms through recertification
d) Uploads current certificates for all firms
e) Keeps accurate  client based mailing lists and updates on a monthly basis
f) Provides staff with requested firm lists and support
g) Provides Members with a  list of firms  that match the opportunity and request
h) Maintains the integrity and privacy of all files securely under lock & key

6. Attends and Supports Client's Functions and Events
a) Participates in development, management and execution of all events
b) Assists with all event executions
c) Answers all event inquiries
d) Assists with Silent Auction as needed
e) Requires ability to work long hour days leading to and day of event
f) Represents the client at Certification Committee meetings and informal meetings
g) Assists with outreach and marketing client events
h) Serves as client representative at relevant outreach events

7. Manages accounts receivable
a) Prepares invoices when requested
b) Collects all payments
c) Processes all checks and credit card transactions

8. Office Support
a) Supports all office functions
b) Answers phone calls within 3 rings
c) c. Manages office operations in Office Managers absence

MINIMUM QUALIFICATIONS
1. Education
a) College degree preferred
b) Or, 5 years related experience in customer service & project planning.

2. Experience
Require exceptional customer service experience on the phone and in person.  Require a working knowledge of QuickBooks & Microsoft Suite of Office Software. Public speaking and presentation skills are required.  Require the ability to learn client proprietary software.  Project management/Organizational skills required.

3. Other required Knowledge, Skills, and Abilities:
     
Must be organized, time management capable, able to multitask, work within a team environment, and communicate concisely and effectively both verbally and in writing.  

This position requires the ability to drive a company vehicle safely throughout the region therefore must be able to provide drivers license.  Possess the ability to work collaboratively with different teams and committees. Professional/Business appearance is required at all times.

              Work safely at all times independently and around other team members.


Working Conditions

1. Safety: Work safely independently and around other team members.  Work safely in all aspects of the Certification Specialist Role.

2. Physical Requirements: Ability to lift, move, and transport boxes up to 40 pounds in weight.  Ability to bend and use proper lifting techniques while at work on-site as well as off-site.                             

3. Working Conditions
    
Normal hours are Monday to Friday 8am to 5pm. Hours before and during events range well beyond normal 8 hour day.  Some events/site visits may require overnight stay. Position requires availability to attend week-long certification training once a year.  Position requires availability to travel to meetings and conferences throughout the region. May require some overnight stays.

Location: Tukwila
Duration: 3-4 Months (Temp to Permanent- if all goes well)l
Rate: $15-$17 per hour
