JOB DUTIES:
Support supervisory staff with daily administrative tasks, special projects, record keeping, scheduling employee activities, and information dissemination.
Compose, draft, format, proofread, edit and distribute a variety of documents such as correspondence, agendas, schedules, reports, inventory records, and policies and procedures.
Create and maintain a variety of documents, spreadsheets, databases and reports for specialized information.
Generate, process, and track a variety of administrative forms such as timecards, grievances, job injury claims, and leave requests.
Perform payroll and timekeeper functions, ensuring timely and accurate payroll processing; track and resolve payroll and timekeeping issues.
Complete personnel related documents such as position requisitions, personnel changes and special duty request forms for submittal to Transit Human Resources.
Provide administrative and clerical support duties such as office management, purchasing, and reception desk coverage.
Develop, implement and maintain filing systems.
Open and distribute mail.
Answer phones and respond to inquiries from callers and visitors.
Schedule and/or organize appointments and meetings as needed.
Arrange for office equipment rental, repair and maintenance.
Maintain office inventory and order office supplies as needed.
Perform other office related duties as required.
EXPERIENCE, QUALIFICATIONS, KNOWLEDGE, SKILLS:
Three years of increasingly responsible administrative support experience; including two years of independent administrative responsibility for a workgroup.
Knowledge of and the demonstrated ability to apply the principles of good office management.
Demonstrated ability to problem solve and improve administrative processes with little guidance or direction.
Demonstrated ability to work independently and apply good judgment, professionalism, confidentiality, and initiative.
Demonstrated ability to apply excellent customer service skills.
Strong oral and written communication skills.
Ability to produce accurate, detailed work products under tight deadlines.
Skill in maintaining data integrity and accuracy.
Ability to multi-task with frequent interruptions.
Demonstrated punctuality, dependability, and excellent attendance record.
Ability to organize, prioritize and manage a high volume of work.
Ability to compose, proofread, and edit written materials according to the principles of good business writing to include skill in proofing and formatting documents, charts, graphs, and tables.
Demonstrated ability to establish and maintain good working relationships with co-workers, management, other departments, and the general public.
Ability to work on a team with a diverse group of employees.
Superior skill in Microsoft Word, Excel, 10-Key, Outlook, and PowerPoint.
Knowledge of payroll processing operations and associated legal requirements.
Ability to learn software applications, including payroll and timekeeping software.
Effective conflict resolution and problem solving skills.
Duration: 3 to 6 months
Pay: $23.68 per hour
40 hours per week
